The most common settlement confusion comes from using “revenue” to mean pipeline, signed value, delivered work, customer receivable and available cash. Use distinct statuses and show the date and evidence for each change.

The statement should be understandable without access to the agency's internal accounting system. Use stable line-item IDs so creator questions, adjustments and payment references point to the same records.

A deduction needs both authority and evidence. “Business expense” is not enough. The creator should be able to see why the item belongs to them and how the amount was calculated.

Show Tax, Fapiao and FX as Evidence—not Mystery Adjustments
The statement should report what happened without pretending the agency can give one universal tax rate. Payee type, source and character of income, service location, treaty position and transaction structure can change the analysis.
Tax / withholding
Show the amount, base, category as advised, withholding party, date and available proof. Do not label an unexplained deduction simply ‘tax.’
Fapiao / invoice
Record issuer, recipient, number, date, amount and represented transaction. The contract, service, money and invoice flows should tell a coherent story.
FX / transfer
Show source currency, payout currency, rate source and date, converted amount, provider fees and final remittance amount.

Run a Monthly Settlement Workflow
Close the period
Set the cutoff and freeze included transactions. Later items enter the next period or a controlled adjustment.
Reconcile sources
Match contracts, delivery/acceptance, invoices, platform/customer reports, bank receipts and opening balances.
Classify status
Mark each line booked, earned, invoiced, collected, cleared, payable or held with an owner and reason.
Calculate the waterfall
Apply contractual commission, approved direct cost, documented tax/FX and referenced adjustments consistently.
Review exceptions
Resolve missing evidence, unusual costs, negative balances, reserves, bank changes and disputes before approval.
Issue and approve
Send a draft/final statement under the agency policy, capture questions, and record creator/agency approval where required.
Pay and reconcile
Execute from approved data, record the remittance, confirm creator receipt, close variances and carry forward only explained balances.

Record the case
Log statement/line ID, amount, issue, creator position, agency position, evidence, owner, due date and outcome.
Correct transparently
Issue a revised statement or next-period adjustment referencing the original line. Keep both versions and explain the reason.

- !Calling contracted pipeline ‘creator revenue’ before the earning and collection conditions are clear.
- !Sending a single net number with no gross revenue, commission base, cost, tax, FX or adjustment lines.
- !Calculating commission from total brand budget when the contract defines a narrower creator-fee base—or never defines the base at all.
